Getting Started

Practice onboarding

Onboarding Medlog into your practice is a simple process. It starts with your practice filling out the Practice Onboarding Sheet which includes a roster of all providers within the practice, a list of facilities for each provider, and the best contact at each facility (typically this is the administrator or Director of Nursing). After receiving the onboarding information, we will provision your practice’s account in Medlog and set up each provider and facility. At this point we are ready to send your providers invites to download the app and login.

 

During onboarding, your practice's billers and admins receive access to SmartOffice, our web application with practice management and revenue cycle modules. SmartOffice enables practice admins to:

  1. Manage the practice’s configuration in Medlog

  2. Access all clinical documentation and SmartText Visit claims generated in Medlog

  3. Export claim data for entry into practice management/billing software.

Billers will be able to access revenue cycle workflows but will have read-only access to practice management.

Provider onboarding

Once your practice has signed up with Medlog, you as the provider will receive an invitation via SMS to download to Medlog Health app. During onboarding, you or your practice will provide us with a list of contacts (DON/Administrator) for each of your facilities (See Onboarding Sheet). Once the Onboarding Sheet has been completed, Medlog will give you access to the app. Providers will use their cell phone number to login.

The Medlog Health app is available on both iOS and Android.

Facility onboarding

We aim to provide a smooth onboarding experience for facilities. First, we do not charge your facilities to use the Medlog Health app and we’ve made it easy to share facility access to nurses within the app. After receiving facility contacts from the practice (See Onboarding Sheet), there are two options for making the introduction to the facility:

Optimal facility introduction:

Due to the relationship you the provider have with your facilities, we've found that it improves speed to deployment and overall customer service when you make the initial introduction to the facility.

We believe the best way to get facilities to use Medlog is for the provider to make the initial introduction

Providers can copy/paste the below message and Solution Sheet to send to the provided facility contacts.

Message to facility decision maker: 

Hi *name*, our practice has implemented the Medlog Health app for my facilities to communicate with me regarding patient-related issues. Medlog is a HIPAA-compliant, SBAR messaging app that helps improve efficiency and communication between your staff and myself. Medlog is free for the facility for unlimited users and is available for both Apple and Android. See the Solution Sheet below for more detail. I'd like to get this set up at your earliest convenience so your staff can start messaging me as soon as possible. The Medlog team will be reaching out soon to help you onboard your staff.

Sub-optimal facility introduction:

Medlog will reach out to your facilities to make the initial introduction and set up, onboard Medlog, and explain that your practice is now using Medlog for HIPAA-complaint clinical communication. 

Invite facility staff

Once the staff has been onboarded and invites have been sent, providers will begin receiving messages through the app. However, we understand that some nurses and other staff may still communicate with providers through text messaging outside of the app. To improve the efficiency of onboarding and reduce the reliance on text messages, providers can easily invite nurses to join the Medlog app in just a few seconds.

 

Under Contacts, select the + in the top right and choose the facility.

Facility code

Sometimes, nurses will download the app prior to receiving an invite or scanning the QR code and will be prompted to input a facility code. If a nurse is asking for the facility code, you can find the facility on the Invite contact screen (see above).
